5. Dashboard and Reports List
Dashboard
Once you are logged in to the Reporting System, the default view will be the Dashboard. This provides you with an overview and key stats of all the reports relevant to you as a Complaint Manager for your organisation.
Overview – shows the total number of all reports by status for the current year, as well as by type of report: Complaints or Grievances, and Child Safe Concerns.
A graph alongside shows the breakdown of these reports by month and status.
Nature of Reports – shows a pie chart with a breakdown of the nature of report categories. You can filter the chart to show comparisons between specific categories.
Child Safe Concerns – shows a graphical representation of the percentage of open vs. closed child safe reports.
Reports Screen
From the left menu, you can choose to view details of the Complaints, Grievances – or Child Safe Concern – relevant to your organisation:
Complaints and Child Safe Concerns screens
From the left menu, you can also access a list of the most recent and active reports by Complaint/Grievance or Child Safe Concern. By default, these two screens list all reports of the selected type for the organisation you manage as a Complaint Manager. The list will show each report’s unique reference code, the nature of the report, the club or organisation to which it relates, the name of the respondent (or reporter), its current status, when it was last actioned and the date it was created. You can customise these two views to suit you own preference – see the Reports View topic for further information.
Below this list of reports is a list of reports from other organisations that may require your attention – it shows a consolidated list of both complaints and Child Safe Concerns. See the Assigning Reports topic for more information on assigned reports.
It’s a good idea to customise these report views to suit your own preferences. See the Reports View topic for details.
To access a report from any of these lists, simply click the ‘View’ action to the right of any report. Viewing and working on a report is covered in more detail in the next few topics of this guide.
5.1 Using the Dashboard
The dashboard is the default view for the Reporting System when you first log in. From here you can get a high- level snapshot of the state of all the open and active complaints or grievances and Child Safe Concerns in the system.
Use the Overview of Complaints widget to see a breakdown of how many reports are in New, Open or Closed/Resolved status for the selected year. Use the Year dropdown to choose a previous year:
If you are State or National level Complaint Manager you will also have the option to choose a specific organisation in the hierarchy which will filter the dashboard widget to just the statistics for that organisation:
Reports lodged from 2018, when the original reports system was introduced, up to around April 2022 are referred to as the “Old system”, whilst those created from April/May 2022 onwards are in the “New system”. re are subtle differences; mainly in the nature of report categories but apart from that, all reports are still available to view in the current Reporting System.
Use the ‘View’ link next to the to switch to the Reports screen and see the details of each of the reports that make up the Overview:
