6. Finding and Viewing Reports

6.1 Finding a Report                                             

If you know the code and the type of report, the easiest way to locate it once you are logged in to the Reporting System is to switch to either the Complaints or Child Safe Concerns item in the left menu depending on its type:

The most recently submitted report should be listed at the top of the list:

You can also use the search filters at the top of the list to show only relevant report, for example, by status:

or by pasting its reference code into the filter box:

Once you have located the report you’re after, you can click the “View” button to see its full details:

With multiple reports listed, you can also export the details to a PDF, CSV, Excel file:

You can configure the columns for your exports to suit your preferences. See the Reports View topic for more details.

6.2 Report Details                                             

Each complaint or child safe matter has four tabs, Report, Working, Summary and Assign Report:

Report Tab

The Report tab, shown in green, provides the complaint manager with the original report that the complainant or reporter completed. It gives an overview of the matter, including victim, offender and witness details, and dates and location of the alleged matter. The CM can choose to modify or add to the information reported, as well as upload supporting file attachments, for example, emails received outside of the Online Reporting System.

If you are a Complaint Manager at State or National level, you will also have the option to edit the details of the report – such as if information was missing from the initial report. Look for the Edit button at the top right of the screen:

Working Tab

The Working tab, shown in orange, is predominantly where the complaint manager will input information regarding the matter as it progresses through to resolution. This tab provides a complaint manager with the ability to work through the matter and includes functions to add dated and timed case notes, along with sections to report on investigations, mediation and judiciaries.

Summary Tab

The Summary tab, shown in red, is used to provide additional summary information on the matter, including the process taken to investigate and resolve the matter.

Assign Report Tab

The Assign Report tab, shown in blue, is used to escalate the matter to the next organisational level within SLS. This could be where the matter cannot be resolved at Club level, and requires Branch or State involvement, or, if the report is already assigned to a Branch, it can be escalated to State level. The Assign Report tab can also be used by higher level organisations to re-assign the report to a different organisation; for example, if the branch re-assigns the report back to the original organisation once they have dealt with the matter.
