Substitution Maintenance

The Substitution Maintenance page allows authorised users to update various settings related to the notifications of events and actions applied to Substitutions in Patrol Rosters.

Accessing Substitution Maintenance

  1. Open the menu

  1. Next, you have two options:

  • Scroll to the Maintenance section

  • Search for “Substitution Maintenance” in the search bar at the top right hand side of the page

  1. Select the Substitution Maintenance option

Understanding the Substitution Maintenance table

Filter by organisation

If you are on the Branch, State, or National levels you must first select an organisation in order to view its substitution settings.

The Substitution Maintenance page shows a list of parameters.

Key columns include:

  • Substitution Parameter

  • Description

  • Value

Search

Use the Search field to narrow results by searching the substitution parameter or description and selecting “Search”.

Edit Substitution Maintenance values

You can edit the substitution maintenance values only if you have the relevant permission to do so.

  1. Select one of the parameters in the list

  1. The Substitution Maintenance drawer opens

  2. Update the value:

    1. Parameter: Hours Prior → the number you enter will be counted in hours

    2. Parameter: Days Prior → the number you enter will be counted in days

    3. Parameter: Position Notified → search and select the position(s)

    4. Parameter: Notification -> select Yes or No

    5. Parameter: Eligible Members Only → select Yes or No

  3. Select Update to save your changes

  1. If successful, a confirmation message appears

I can’t see the Substitution Maintenance option in the Menu

The Substitution Maintenance section is only visible under the Maintenance menu item if:

  • You have Maintain Substitution = Can View permission, and

  • You are viewing the Memberships application

  • SurfGuard user accounts are managed by each state office. Contact your state centre using the appropriate form here to have them update your permissions if necessary.

I can’t edit a Substitution Maintenance parameter

You can only edit a Substitution Maintenance parameter if you have the Maintain Substitution = Can Update permission
